How AiClaim collects, uses, and protects information across our website and the ClearClaim platform — built around a simple principle: we don't want your patients' health data, and by design we don't take it.
AiClaim, LLC ("AiClaim", "we", "us", or "our") operates the website at aiclaim.com and the ClearClaim pre-billing claim-scoring platform. This policy explains what information we collect, why we collect it, how we use and share it, and the choices you have. It applies to our marketing website, our applications, and our communications with prospects and customers.

This policy covers personal information about website visitors, people who contact us or request a consultation, and authorized users of customer accounts. It does not govern how our healthcare customers handle patient information within their own systems, and it does not turn AiClaim into a party to any patient relationship.
Where we process information on behalf of a healthcare provider customer under a separate agreement, that agreement — not this policy — controls how we handle data supplied through the ClearClaim platform.
To score a claim before submission, ClearClaim works with claim-line attributes — codes, modifiers, payer, place of service, provider identifiers, dollar amounts, and denial history. ClearClaim is PHI-free by design: it is built to operate without patient names, demographics, or other direct identifiers. See section 04 for detail.
ClearClaim is engineered to score claims using billing and policy attributes rather than patient identifiers. We do not want, and do not seek, protected health information to deliver our core scoring service.
Where a customer engagement does require us to handle PHI — for example, an optional module that touches identifiable eligibility data — we do so only under a written Business Associate Agreement (BAA) as required by HIPAA, and that data is kept logically separate from our PHI-free scoring service. In those cases we use, disclose, and safeguard PHI strictly as permitted by the BAA and applicable law.
Where data protection laws such as the GDPR apply, we rely on one or more of the following bases: your consent; performance of a contract with you; our legitimate interests in operating and improving our business; and compliance with legal obligations. Where we rely on consent, you may withdraw it at any time.
We apply administrative, technical, and physical safeguards designed to protect information against unauthorized access, alteration, disclosure, or destruction — including encryption in transit, access controls, and least-privilege practices. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security, but we work continuously to protect the data entrusted to us.
We keep personal information only as long as needed for the purposes described in this policy, to provide our services, to meet legal, tax, and accounting requirements, and to resolve disputes. When information is no longer needed, we delete or de-identify it.
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to opt out of marketing or the "sale" or "sharing" of personal information. To exercise any of these rights, contact us using the details below — we will respond as required by applicable law and will not discriminate against you for exercising your rights.
Our website and services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can remove it.
AiClaim operates in the United States and works with teams and providers in multiple locations. If you access our services from outside the United States, your information may be transferred to and processed in the U.S. and other countries. Where required, we use appropriate safeguards for such transfers.
We may update this policy from time to time. When we do, we will revise the "Last updated" date above and, for material changes, provide additional notice where appropriate. Your continued use of our website or services after an update means you accept the revised policy.
